This policy explains what information Lionheart LLC ("Lionheart," "we," "us") collects when you use tacmatrix.com and the TacMatrix applications (EP ADVANCE, OVERWATCH, BENCHMARK, SIGHTLINE, and any other app we release under the TacMatrix name), how we use it, and the choices you have.

1. The short version

  • Operational data you enter in the apps (plans, maps, overlays, training records) stays on your device unless you turn on sync.
  • If you turn on sync, that data is stored in a cloud database under your organization's account, and we do not read it except to provide support you request.
  • We collect the minimum account and billing information needed to sell and support licenses.
  • We do not sell personal information. We do not run advertising.

2. Information we collect

Information you give us

  • Contact details when you request a demo, a quote, or support: name, agency or company, role, email, phone, and anything you write in a message.
  • Billing details when you buy a license: name, email, billing address, and organization. Payment card numbers are collected and stored by Stripe, not by us.
  • Content you enter in the apps: mission plans, routes, venues, personnel assignments, map overlays, training scores, and similar operational data.

Information collected automatically

  • Website analytics from Squarespace: pages visited, approximate location, device and browser type.
  • Basic app diagnostics: app version, device type, and error reports, if you send them to us.

Location data

OVERWATCH uses map and satellite imagery. If you grant location permission, the app uses your device location to position the map. Location is not transmitted to us unless it is part of an overlay you choose to sync.

3. How we use information

  • To provide, license, deliver, and support the apps.
  • To process payments, send receipts, and manage renewals.
  • To respond to demo, quote, and support requests.
  • To improve the apps, using aggregated or de-identified diagnostics.
  • To meet legal obligations.

4. Where operational data lives

By default, app data is stored locally on your device. Some apps offer optional sync, which stores your organization's data in a cloud database hosted by a third-party provider (currently Supabase, hosted in the United States). Sync data is segregated by organization account. We access it only to provide support you request or as required by law.

You are responsible for the sensitivity of the data you enter and for any handling requirements your agency imposes (for example, CJIS or internal policy). If your agency's policy prohibits cloud storage of operational data, do not enable sync.

5. Sharing

We share information only with service providers who need it to run TacMatrix HQ, under contracts that restrict their use of it:

  • Stripe — payment processing and invoicing
  • Squarespace — website hosting and forms
  • Supabase — optional data sync
  • Google — map and satellite imagery in OVERWATCH, subject to Google's terms
  • Apple — app distribution through TestFlight, the App Store, or Apple Business Manager

We may also disclose information if required by law, subpoena, or court order, or to protect the safety of people or the security of our systems.

We do not sell personal information and we do not share it for advertising.

6. Retention

  • Contact and demo requests: retained until you ask us to delete them or three years after last contact, whichever is sooner.
  • Billing records: retained as long as required for tax and accounting purposes.
  • Synced app data: retained while your license is active and for 90 days after termination, then deleted. You can request earlier deletion.
  • Local app data: under your control. Deleting the app deletes it.

7. Security

We use encryption in transit, access controls, and reputable hosting providers. No system is perfectly secure, and you should apply your own device security (passcodes, MDM, remote wipe) to devices running the apps.

8. Your choices

  • You can request a copy of, correction to, or deletion of your personal information by emailing contact@tacmatrix.com.
  • You can turn sync off at any time in the app settings.
  • You can opt out of marketing email using the link in any message. Transactional email (receipts, renewal notices, security notices) continues while your license is active.

Residents of California and other states with privacy laws have additional rights, including the right to know what personal information we hold and the right to request its deletion. We honor those requests regardless of where you live.

9. Children

TacMatrix HQ is for professional use by adults. We do not knowingly collect information from anyone under 18.

10. Changes

We will post any changes here and update the effective date. Material changes affecting active licensees will also be sent by email.
